General Summary

This role serves as a direct extension of the Chief Brand Officer while also supporting the broader marketing team. The position serves as an operational extension of leadership, focused on driving execution, ensuring accountability and improving speed to market across campaigns and initiatives. By centralizing project coordination, prioritization and follow-through, this role reduces delays, minimizes execution risk and allows leadership to focus on strategic, revenue-generating activities. The impact is realized through increased team productivity, stronger cross-functional alignment and more consistent delivery of marketing initiatives.

The Marketing Executive Assistant ensures that leadership priorities move forward, communication is tight and the department operates with clarity and accountability. This position doesn’t just manage tasks - they manage momentum. The position serves as the operational backbone of the marketing team, ensuring priorities move forward, details don’t slip, and the department runs with precision. This role is equal parts coordinator, communicator, and problem-solver. This individual acts as an extension of marketing leadership - anticipating needs, managing competing priorities and enabling the team to focus on strategic work.

This role requires a highly organized, proactive and detail-oriented individual who thrives in a fast-paced environment and can manage multiple priorities with professionalism and discretion.

Principal Duties and Responsibilities

Executive & Team Support

Manage calendar, meetings, and priorities for marketing leadership
  • - ensuring time is aligned to strategic objectives
  • Prepare meeting agendas, capture notes and track follow-ups to ensure accountability
  • Act as a gatekeeper and facilitator
  • - prioritizing requests and ensuring timely responses
  • Coordinate internal communication across teams including Marketing, Digital Channels and Retail Products

Project Coordination

  • Track marketing projects, timelines and deliverables across campaigns, initiatives, and departments
  • Ensure deadlines are met by proactively following up with team members and partners
  • Maintain project management systems (e.g., Asana, Kadence, etc.)
  • Help streamline workflows and identify inefficiencies

Administrative Operations

  • Manage invoices, budgets, credit cards and vendor coordination
  • Oversee ordering, shipping, and distribution of marketing materials to offices
  • Maintain organized digital file systems (SharePoint)

Marketing & Campaign Support

  • Coordinate logistics for campaigns, events, and promotions
  • Proofread materials for accuracy and consistency
  • Support content scheduling and asset management
  • Ensure brand standards and compliance requirements are followed

Event & Logistics Support

  • Assist with planning and execution of internal events, including internal meetings, community events and sponsorships
  • Coordinate vendors and on-site logistics

Associated Duties

Provides additional support to manager and department colleagues.

Completes all assigned/required Bank training within established timelines.

Knowledge, Skills and Abilities (KSAs) Required
The following KSAs are usually acquired through work experience and/or specialized course(s):

  • Ability to analyze situations to determine solutions or resolve problems
  • Ability to apply general accounting knowledge (debits, credits, balancing) to processes
  • Ability to apply knowledge and sound judgment in decision-making and understand consequences of decisions
  • Ability to work in fast-paced team environment, handle multiple tasks and prioritize work
  • Effective written and verbal communication skills
  • Excellent client service skills
  • Detail oriented
  • Excellent time management and organizational skills
  • Knowledge of general office procedures (e.g., filing, correspondence, scheduling)
  • Strong PC skills (proficient knowledge of MS Word, Outlook and Excel)

Education

Minimum high school diploma or equivalent required. Bachelor’s Degree in Finance, Business, Accounting, or related field, from an accredited college preferred. Experience in banking a plus, along with 3 or more years’ experience in an administrative professional role. Relevant experience may substitute for the education requirement.
